Your role
The Office Assistant is responsible for assistance in running the smooth and efficient operation of all office management and facilities services in the Ede Global Office of Wetlands International. The jobholder will work as part of the Support team of the Global Office, within the Operations group.
Job offer
- Part time 24 hours per week- 3 days (Full time is 36 hours – 5 days per week).
- Gross monthly salary between 2.800 EUR and 3.490 EUR Gross for a full time position, excl. 8%
Holiday pay (dependent on experience). - Contract duration: 12 months, with possible expectation of extension.
- Location: Global Office in Ede-Wageningen, the Netherlands (3 office days per week).
Tasks and responsibilities
- Manage telecommunication services.
- Provide reception services, including welcoming visitors, handling general enquiries, and managing the
main office phone and email, presence registration. - Handle incoming and outgoing mail and courier services and maintain the mail register on a daily basis.
- Maintain and regularly update the contact database.
- Maintain electronic filing systems in SharePoint/Teams and physical files where applicable, in line with organisational procedures.
- Monitor office supply levels and order stationery and other small office consumables as required.
- Support meeting logistics, including room bookings and basic meeting arrangements.
- Coordinate incoming publication requests and dispatch requested materials in collaboration with the Communications Department.
- Coordinate visa applications and arrange travel, accommodation, local transport, and visitor itineraries for staff and guests.
- Perform other relevant duties consistent with the role and the objectives of the position.
Your profile
The ideal candidate must have good communications, organisational skills and be able to deal sensitively and helpfully with a range of enquiries and demands, from a wide range of countries and cultures. He or she must also have the willingness to learn new skills and to extend the range of tasks undertaken. Finally the candidate has the ability to organise their time and work with a level of initiative and do all this in a motivated and pro-active way.
Education, skills, and experience
- Full secretarial qualifications on MBO level and a minimum of one year of relevant experience;
- Working knowledge of MS Office package;
- Knowledge of and experience in correct correspondence in Dutch and English;
- Excellent telephone manners;
- Fluent Dutch language skills, good English language skills.

OUTSIDE Wetlands International: The suppliers of all goods and services to the Global Office, official agencies, partners, Council members and wider networks of Wetlands International.
